The workflow

A work order that follows the job.

Work orders, operations and responsibility stay connected. Mechanics record work where it happens, while the workshop manager follows progress.

  1. Define and agree the job

Create an internal job for a stock vehicle or a customer job. Describe the operations and prepare a quote. Price and scope must be clarified before the agreed work starts.

  2. Plan people and space

Assign operations to mechanics and workshop bays in the planner. “My day” shows mechanics their tasks for the selected day.

  3. Carry out and record the work

Record time and parts on the job. Add photos and notes from a phone. The safety assessment records risks and measures; each participant acknowledges the current version personally.

  4. Inspect and follow up

Record final inspection and collect selected photos and evidence in a report version. Findings can be followed up with an owner, actions and an assessment of their effect.

  5. Finish and find the history

Find active, completed and closed orders in the history. Final inspection, vehicle handover and cost posting or invoice basis are separate steps. Invoicing through an external system requires an agreed setup.

The workshop manager

Assign jobs, follow progress and clarify what remains. Planning and order history offer different ways into the same work.

The mechanic

See today’s tasks, record time and parts, and add photos and notes. Available actions depend on the role and job status.

The person following up

Find report versions and previous work. Follow actions through and assess their effect without rewriting earlier documentation.

Questions about getting started and the system

Preparing vehicles for sale?

Link the workshop job to the stock vehicle. The dealership can then follow preparation alongside vehicle documents, costs and customer follow-up.
